Choose the fields you want to appear on printed labels and position them on the same or separate lines along with text, spaces, punctuation marks, and calculated fields.

To create a label,

  1. Decide how you want each label to appear: Which table fields, in which order? Will you have the same text recurring on each label, such as a greeting, a mailing code, or a country designation?

If you have selected a table of standard mailing addresses, you can quickly generate mailing labels by clicking the Quick Address button.

Label Contents

This panel is the design surface on which you position table fields, text, spaces, punctuation marks, and calculated fields. You can add lines, select previous lines, and delete any or all entries.

Fields

Choose fields from the table or query file you selected in the previous step. Double-click to add the field to the selected line in the Label Contents panel. If you choose the wrong field or placement, select the item in the Label Contents panel and click the Delete button.

Field>

Click the Field> button to move the selected field onto the label design surface. Each field is added on the same line and to the right of the preceding field.

New Line>

Click the New Line> button to create a new line on the label. The fields, text, spaces, punctuation, or calculated fields you add will then appear on the new line.

Text

You can separate fields with punctuation marks and spaces, and you can add fixed text that will be printed identically on each form, such as a mailing code or country designation.

Punctuation buttons Click these buttons to insert punctuation marks into the selected line. From left to right, the four buttons insert a comma, a period, a hyphen, or a colon.

Space Click the Space button to insert a space into the selected line to the right of the last item inserted.

Text Enter text that you want to appear on every label. Click the Space button to separate words.

Text> Click the Text> button to add the text you just entered in the Text field to the current line in the label design surface.

Calculated Field>

Click the Calculated Field> button to display the Calculated Field dialog box where you can name the field and write an expression that performs a calculation and returns a value.

Quick Address

Click the Quick Address button to quickly generate a label layout if you have selected a table of standard mailing addresses.
